Managing Your Mailbox Storage Quota

Resources for:

FDU online mailboxes include 50 GB of storage for faculty, staff, department accounts, and retired tenured faculty. Active students and alumni receive 25 GB of storage for email, calendar, and other Exchange-related data.

This article explains how to access Outlook on the web and apply an archive policy that automatically moves older messages from your Inbox to your In-Place Archive.

Access Outlook on the Web

  1. Go to the FDU homepage at fdu.edu
  2. Open the “Shortcuts” menu at the top of the homepage
  3. Select “Office 365 and Email”
  4. Sign in with your FDU NetID and password, then complete Duo Multi-Factor Authentication if prompted
  5. Select the “Outlook” icon to open your mailbox

Apply an Archive Policy to Your Inbox

After your mailbox opens in Outlook on the web:

  1. Find the “Inbox” folder in the folder list on the left side of the screen and right-click it
  2. Select “Assign policy” from the menu
  3. Under “Archive policy”, select the automatic option that best meets your needs:
    • “Personal 1 year move to archive”: Automatically moves messages older than one year to your In-Place Archive and is recommended for reducing mailbox usage more quickly
    • “Personal 5 year move to archive”: Automatically moves messages older than five years to your In-Place Archive
  4. Confirm that the menu closes and the selected policy is assigned to your Inbox

Note

Archiving is processed by the server and is not immediate. It may take up to 24 hours for the new policy to begin moving older messages from your Inbox to your In-Place Archive.

What Happens Next

  • Archived messages: After messages are moved, they appear in the corresponding folders under “In-Place Archive” in the folder list
  • Continued archiving: The selected policy continues to run automatically and moves messages to the archive as they reach the selected age
