Transcription and Closed Captioning

All video projects produced by Multimedia Services must be closed captioned and transcribed. Captions appear onscreen simultaneously with the audio and video and follows the same timing. It exists within the video player. A transcript is the same word-for-word content as captions, but presented in a separate document, whether it is a text file, word processing document, PDF, or web page.

B-ROLL Acquisition

What is B-ROLL?

B-ROLL is supplemental footage inserted as a cutaway under narration or interview that helps tell the story. It can be used to introduce a segment or to cover a speaker’s audio or video miscues.

Acquiring B-ROLL

Multimedia Services has a significant amount of B-ROLL, however, there are projects that are so specific that we will not have the exact material required. In these situations, the producer will need to schedule a day(s) to acquire the footage. In some cases, scenarios may need to be created. If B-ROLL needs to be recorded off campus, permits may be required.

Requesting Access to B-ROLL Previously Captured

We currently grant access to existing B-ROLL via direct request. Our B-ROLL catalog is currently hosted on OneDrive and can be shared with anyone in and outside of FDU upon request. For access to our B-ROLL, please email danielpando@fdu.edu.

Note

Multimedia Services is diligently organizing and labeling our extensive collection of B-ROLL footage in preparation for the launch of a new cloud-based video library, set to become available in Summer 2024. This initiative aims to enhance accessibility and search-ability, ensuring efficient use of our valuable video resources.

Budget Transfers and Invoicing

Project Quotes

Upon request, we are able to provide an initial quote for your video project, giving you an estimated cost. For a more accurate estimate, please provide as many details as possible about the project. To initiate your video project and request a quote, please email danielpando@fdu.edu.

Note

Quoted prices serves as an estimate and the final price may exceed the initially quoted amount, depending on the actual hours worked to complete the project.

Invoicing After Project Completion

Once a project is completed, an invoice will be generated that accurately reflects the predetermined cost associated with the production. An e-mail will be sent to the initial contractor of the production, and a GL account number will be requested to be added to the invoice and sent to Finance to complete the transfer.

Note

Prior to the processing of any budget transfers, it’s mandatory for the invoice to receive written approval from the either the supervisor in charge of the GL budget code, or the project leader. This step ensures proper authorization and accountability.

Cost Associated with Production and Post Production

Production Services

Multimedia Services operates as a cost recovery center, ensuring our pricing remains competitive and significantly lower than external video production studios, without compromising on production value.

Our pricing structure is straightforward: video production services are offered at a flat rate of $150.00 per hour, making high-quality production accessible and affordable.

Post Production

When it comes to post-production, our rates are equally transparent, set at a flat rate of $50.00 per hour. The total time required for editing a project can vary, but on average, it ranges between 20 to 30 hours, depending on the complexity of the project, its duration, and the number of revisions needed during the preview stages.

ADA Captioning

In line with ensuring all online distributed videos are ADA compliant, our services include closed captioning and transcription. While platforms like YouTube automatically generate captions, they might not always be perfectly accurate. For videos requiring 100% accuracy in transcription, or for content hosted on platforms other than YouTube, we offer professional transcription services at an additional cost to meet all accessibility standards.

Post Production Services

Editing Process

Editing projects can vary greatly in complexity, from straightforward cuts to those requiring specific graphics, logos, music tracks, and lower-thirds. To ensure a smooth and efficient editing process, it’s important to communicate these requirements to our team prior to production. This allows us to be prepared and begin editing shortly after the video has been recorded.

For more complex video projects, involving a variety of unique elements like graphics, B-ROLL, transitions, voiceovers, and music tracks, collaboration between the editor and producer is key. This process typically involves the editor sending raw footage to the producer, who then uses the Frame.io platform to make edit decisions and provide additional stylistic guidance.

A preview version is created based on this feedback and emailed back to the producer for review. This cycle of review and revision may require several iterations, potentially two to four passes, before reaching a final version. This final product is then subject to approval by individuals responsible for the video project, ensuring that it meets all necessary standards and criteria.

Project Video Management

Project Storage

Multimedia Services ensures the long-term preservation of all video material by storing and backing it up indefinitely on Sony CI, our cloud-based video storage library. This comprehensive backup encompasses everything from raw footage and project files to graphic files and the final program. Should your video project require updates in the future, we have the capability to access and revise the project as needed.

Project Delivery

Multimedia Services delivers final program material using Frame.io, offering a rapid, secure way to send large files. This platform facilitates team collaboration with features for leaving time-coded notes. While the Frame.io link enables previews and approvals by project stakeholders, it is not intended for long-term storage. After video approval and download, the content is archived and the link will expire.

If you need to access to a previously completed project after the Frame.io link expires, requesting a new link may take 3-5 business days.

Video Conversion

Multimedia Services acknowledges the occasional need to present video materials originally produced in outdated formats. Common conversions include transitioning from VHS, DV, DVD to more current digital formats like .mp4 or .mov. While we do not directly offer conversions of physical media, we facilitate these processes by outsourcing to a trusted vendor specialized in such conversions, ensuring that your valuable content is updated and accessible in modern formats.

Video Production Services

When scheduling a video production on or off Campus, it is important to provide a detailed description of what is expected, and what is most important. This will allow the Multimedia Services to anticipate any issues depending upon the location.

Off Campus Video Production

When recording off campus it is important to communicate the exact event location and contact information of anyone who is overseeing the venue. For secure office buildings it will be necessary that security be advised that a video crew will be arriving and to include the name(s) of the crew and the nature of the production. Also, it should be noted that recording in certain areas, both public and private locations may be prohibited or require a permit.

Additional Costs

Due to the nature of some off-campus productions there may be some additional costs, such as tolls, parking and fuel.

  • Multimedia Services does not formally provide comprehensive live streaming services. However, for smaller-scale productions, we can facilitate a stream using a single camera setup. For events requiring full production quality, we have partnerships with established vendors who specialize in providing high-quality live streaming services.

  • Bill Kennedy, the University Web Master, oversees the content posted on the official FDU YouTube channel. In certain special cases, Multimedia Services can collaborate directly with Bill to post content, such as streaming a live event.

  • For any needs related to audio/visual equipment, please reach out to Academic Technology. Please note that Multimedia Services does not provide or loan equipment to other departments.

  • Multimedia Services charges a minimal fee, primarily to cover the costs associated with production equipment, maintenance, and personnel. Operating as a cost recovery center, our focus is not on profit-making. Consequently, our pricing is significantly lower than external video production studios, while we strive to offer equal or, in some cases, superior production value.
