Fairleigh Dickinson University’s implementation of Box.com is designed to enable secure, scalable, and collaborative file sharing and content management between members of the FDU community and parties external to the institution.

The platform offers:

  • Unlimited cloud storage for academic, administrative, and research content
  • Secure access and sharing with encryption and granular permission controls
  • Seamless collaboration with internal and external users via shared folders and links
  • Integration with tools such as Microsoft 365, Zoom, and Adobe Sign
  • Version control and file recovery, minimizing data loss and ensuring continuity
  • Mobile and remote access for flexible work from any device

Fairleigh Dickinson University has a limited number of licenses available for qualified faculty and staff to use Box.com. Qualified in this case is defined as FDU faculty and staff members who have an approved business need to share confidential information with parties external to the University.

To acquire a license for Box.com, a user must complete a request form located on samisupport.fdu.edu using the link below:

Once a license is provided and a folder built, the licensee has complete accountability of the data and any access provided to others. As with any sensitive information, the licensee is reminded to pay careful attention to following WISP guidelines and when in doubt, ask before sharing content.

Getting Started

Logging into Box

Follow these steps to log in to your FDU Box account:

  1. Go to fdu.box.com

  1. Click “Continue” to proceed to the FDU network login
  2. Complete the FDU Single Sign-On process
Creating Your Workspace

Learn how to create a new subfolder in your Box account, upload content, and share it with your colleagues.

Creating a New Subfolder

  1. Click “New” in the upper-right corner
  2. Click “Folder”
  3. In the pop-up window, enter a name for your folder. You can also invite collaborators at this step. If you don’t invite anyone, the folder will remain private
  4. Click “Create”

Uploading a File or Folder

  1. In the All Files section, click “New” in the upper-right corner
  2. Select “File Upload” or “Folder Upload”, depending on your needs
  3. Choose the file(s) or folder to upload
    • Use Command (macOS) or Control (Windows) to select multiple files.

Note

Only one folder can be selected at a time.

Sharing Content with Others

You can share Box content in two primary ways:

  • Inviting collaborators to files or folders
  • Sending shared links

Adding Collaborators

A collaborator is someone you invite into a file or folder. The shared item will appear in their All Files view.

  1. Hover over the row of the file or folder you want to share
  2. Click “Share” on the right to open the Share window
  3. Under “Invite People”, click “Add names or email addresses” and enter the collaborator’s details
  4. Use the “Invite as” drop-down to assign a role
  5. Type a message in the “Message” field (this step is optional and has a character limit of 750)
  6. Click “Send”

Sending a Shared Link

Shared links allow quick access to content for both internal and external users.

  1. Hover over the file or folder you want to share
  2. Click “Copy Shared Link” on the right. The Shared Link window will open
  3. Choose one of the following access levels:
    • People with the link: Anyone with the link can access. Add password protection, expiration, or restrict downloads if needed
    • People in your company: Only Box users with your organization’s email domain can access
    • Invited people only: Only invited collaborators can access the content
  4. Choose allowed actions for recipients:
    • Can edit: Edit, comment, annotate, and download
    • Can view and download: View and download only
    • Can view only: View within Box but cannot download or edit
  5. Copy and paste the link into your preferred app (email, messaging, etc.)

Managing Collaborators

When allowing other to access a folder, here is breakdown of permission levels:

To manage existing collaborators:

  1. Click the three dots to the right of the folder
  2. Hover over “More Actions”, then click “Manage Collaborators”

Note

When inviting a collaborator outside of FDU, the invitee will receive an email notification with access details. Permissions may vary depending on folder settings and account restrictions.

Export or Migrate Data from OneDrive

This guide explains two methods for downloading files from OneDrive using either the web version or the OneDrive client application.

Web Version
  1. Go to your web browser and navigate to office365.fdu.edu

Office 365

  1. Sign in using your FDU account, enter your FDU username and password, complete DUO MFA verification by selecting “Approve”, and then select your Microsoft account (your FDU account)
  1. After signing in, you will be taken to Web Outlook by default
  2. Click the “App Launcher” (9 dots in the top-left corner)
  1. Click “OneDrive”
  1. In the left column, click “My Files”
  1. All files on your OneDrive will be displayed under My Files. To select all files, hover to the left of “Name”

Note

OneNote files cannot be downloaded in bulk. If a downloaded folder contains a OneNote notebook, the .zip file will include an error message in a .txt file.

  1. Unselect any OneNote notebooks
  1. Click “Download” icon
  1. OneDrive will prepare a .zip file which will download to your computer

  1. Install the Microsoft OneDrive client for Windows or macOS
  1. After installation, open OneDrive on your computer

  1. Review the default OneDrive folder location and click “Next”
  1. When prompted to back up folders, click “I’ll do it later”
  1. In the “Get to know your OneDrive” window, click “Next”
  1. In the “Share files and folders” window, click “Next”
  1. In the “All your files, ready on-demand” window, click “Next”
  1. In the “Get the mobile app” window, click “Later”
  1. When “Your OneDrive is ready for you” appears, click “Open my OneDrive Folder”
  1. OneDrive setup is now complete
  2. Locate your folder in OneDrive and drag or copy the files to your computer. Ensure files are saved outside the FDU OneDrive folder

After transferring your files, unlink your account using the steps below:

For Windows

  1. Click the “OneDrive” icon in the taskbar
  1. Click the “Gear” icon
  1. Click “Quit OneDrive”
  1. Confirm by clicking “Close OneDrive”

Your OneDrive account is now unlinked.

For macOS

  1. Click the “OneDrive” icon in the top menu bar
  1. Click the “Gear” icon
  1. Click “Quit OneDrive”
  1. Confirm the action

Your OneDrive account is now unlinked.

Download Limitations

  • You cannot download files directly from the Shared view. Open the file and save a copy to your preferred location.
  • The Download button may disappear if you refresh the page while viewing a folder. Go up one directory and return, or close and reopen the tab.
  • Download limits include: 250GB file size limit; 10,000 total file limit; 10,000 files per folder.
  • When downloading multiple compressed files (e.g., .zip or .mp4), the size limit is 10GB per .zip file and 20GB total.
  • Files protected by sensitivity labels or IRM larger than 4MB will not be included in a bulk download. Download these files individually.

Project Video Management

Project Storage

Multimedia Services ensures the long-term preservation of all video material by storing and backing it up indefinitely on Sony CI, our cloud-based video storage library. This comprehensive backup encompasses everything from raw footage and project files to graphic files and the final program. Should your video project require updates in the future, we have the capability to access and revise the project as needed.

Project Delivery

Multimedia Services delivers final program material using Frame.io, offering a rapid, secure way to send large files. This platform facilitates team collaboration with features for leaving time-coded notes. While the Frame.io link enables previews and approvals by project stakeholders, it is not intended for long-term storage. After video approval and download, the content is archived and the link will expire.

Note

If you need to access to a previously completed project after the Frame.io link expires, requesting a new link may take 3-5 business days.
