Acceptable Use Policy for Computer Usage

The computing and electronic communications facilities at Fairleigh Dickinson University support the instructional, research, and administrative activities of the University. Users of these facilities may have access to University resources, sensitive data, and external networks. Consequently, it is imperative for all users to behave in a responsible, ethical, and legal manner. This document presents specific guidelines for appropriate behavior and use of FDU computing resources.

SCOPE

These guidelines apply to all users of FDU computing resources. Users include all students, faculty, staff, visiting faculty, volunteers, guests of the administration, and external individuals or organizations.

Computing resources include, but are not limited to, desktop and laptop computers, file servers, smart phones, email and electronic communications, software, University-assigned email accounts, data storage, and networking equipment used to link these components together and to the Internet, whether owned, leased, or licensed by FDU. In addition, computing resources include use of the University network via a physical or wireless connection, regardless of the ownership of the computer or device connected to the network. Moreover, this policy applies to all usage of university computing resources, whether that usage occurs through a university owned device or personal device.

University property, including computing resources, are provided to you for University business. Although security protocols have been put in place to restrict access to computing resources to protect them against unauthorized access by external parties, it is important that all members of the University community take appropriate measures to safeguard these resources.

Users – and not the University — are responsible for the materials that users prepare, receive, or transmit through computing resources. Thus, as a condition of using the University’s computer system, all users represent that they are in compliance with applicable laws and University policies, including l federal, state, and international copyright and other intellectual property laws and laws regarding defamation.

ACCEPTABLE USE

Those who make use of the FDU computing resources are required to behave in a manner consistent with FDU’s codes of conduct. As a user of this network, you agree to the following usage guidelines:

  1. You will not use an account that does not belong to you. You will use only the computers, computer accounts, and computer files for which you have authorization. You may not share accounts, files, or access to computer resources with any unauthorized person.
  2. You are responsible for any computer account you have been given. You will set a password on the account that is in compliance with university password policies, and you may not share this password with any other person. If you discover that someone has made unauthorized use of your account, you should change your password immediately and immediately report the event to one of the individuals listed in Appendix 1.
  3. You agree not to intentionally seek out information about, copy, or modify password files, other users’ files, or disks and tapes belonging to other people, unless specifically authorized by those persons, whether at FDU or other facilities.
  4. You should not attempt to decrypt material to which you are not entitled or attempt to gain rights you have not been specifically granted by the owner. If you observe or discover a gap in system or network security, you agree to inform one of the individuals listed in Appendix 1 and not to exploit the gap.
  5. You agree to refrain from any activity that interferes with a computer’s operating system or its logging and security systems, or that may cause such effects. Additionally, users are not authorized to remove any security software installed on FDU equipment by FDU Systems personnel.
  6. You must be sensitive to the public nature of computing resources and agree not to transmit, post, or otherwise display material that is threatening, obscene, harassing, or defamatory. The use of University computing resources to libel, slander, or harass any other person is not allowed and could lead to University discipline as well as legal action by those who are the recipients of these actions.
  7. You agree not to make copies of or distribute software the University owns or uses under license, unless the owner of the software or the owner of the license has specifically granted permission to copy. If in doubt as to whether you have permission to copy software, assume you don’t.
  8. Messages, statements, and declarations sent as electronic mail or public postings should be treated as if they were tangible documents. From electronic identifiers used in the transmission of messages, addressees can see the University is the source of the message or its system is being used to transmit it, similar to how letterhead or return addresses on a tangible document would identify the University. Therefore, as a representative of the FDU community, you are expected to respect the University’s good name in your electronic dealings with those both within and outside the University. Moreover, in so far as employees make use of FDU computing resources to relay personal opinions, it is their obligation to make sure that no addressee can infer that their personal opinions are necessarily shared or authorized by the University, and they are obligated to clearly identify their opinions as their own and not those of the University.
  9. You agree not to create, alter, or delete any electronic information contained in any system that is not your own work, unless specifically authorized by the owner of that information.
  10. You agree not to create, send, or forward electronic chain mail letters. You agree not to attempt to alter or forge the “From” line or any other attribution of origin contained in electronic mail or postings. You agree not to use any of the University systems for sending what is commonly referred to as “SPAM” mail (unsolicited bulk email).
  11. You may not use FDU computing resources as a means of obtaining unauthorized access to any other computing systems.  
  12. FDU’s data storage on University servers, hosted servers, third party storage, or hosted storage, is an FDU computing resource with costs attached and should be used with care and discretion. It is primarily meant for current class work, research and development projects, business files, and temporary storage of other files. Users are expected to keep their disk usage reasonably minimized, in keeping with their University role.
  13. Network addresses such as TCP/IP addresses and machine addresses are assigned by University Systems and Networking staff and may not be altered or otherwise assigned without the explicit permission of the Associate Vice President of Systems and Networking (or other designee). In addition, no equipment may be attached to the network without the explicit permission of the Associate Vice President of Systems and Networking (or other designee). This applies to all staff as well as academic departments.
  14. FDU’s computing resources are not to be used for the transmission of commercial or personal advertisements, solicitations, and promotions or for extended reproduction of political, ideological or commercial material originated by a person or organization. This includes but is not limited to the execution of revenue-generating advertising programs which pay users when the programs are run. The Associate Vice President of Systems and Networking (or other designee) may suspend this rule when it is in FDU’s best interest to permit such activity.
  15. Users may not contract with external Internet services, service providers, or the like without the explicit written approval of the Associate Vice President of Systems (or designee) and Networking and compliance with Finance and Office of General Counsel policies.
  16. Without the explicit written permission of the Associate Vice President of Systems and Networking (or designee) you agree not to run any of the following protocols or services:
    • Port scanners, network monitors or other types of utilities that probe any other computer, be they inside or outside FDU’s network.
    • Routing or network serving protocols such as RIP, IGRP, OOTP or DHCP on the network.
    • Daemons, processes or programs that accept incoming connections, as a server would.
    • Streaming media servers or any other server that broadcasts continuous data streams.
  1. FDU’s computing resources, including equipment, network, services, and wiring may not be modified or extended beyond the areas of their intended use.
  2. Network connections may not be used to provide network access to anyone outside the University community or for any purposes other than those that are in direct support of the academic mission of the University.
  3. All computers connected to FDU’s network must run an operating system and configuration that is supported by its vendor with regard to security patches and updates, as well as antivirus software with current virus definitions. It is the user’s responsibility to keep their virus definitions up to date and to apply all critical operating system updates.   4. Users may not alter the operating system or configuration of University owned computers without the explicit written authorization of the Associate Vice President of Systems and Networking (or designee).

PERSONAL USE

Computing resources are created to support the instructional, research, and administrative activities of the University, and are the property of the University. Personal use of the University’s computing resources, except for students enrolled at the University, should be incidental and kept to a minimum. Use of such resources by an employee for other than work-related matters should be reasonable and limited so that it does not prevent the employee from attending to and completing work effectively and efficiently, does not incur additional cost to the University, and does not preclude others with work-related needs from using the resources, including the shared campus and Internet bandwidth.

Department Heads and other administrators may enact additional restrictions to further limit employees’ personal use of University computing resources. These restrictions may include but are not limited to: limiting time spent reading or writing personal email or visiting web pages, and limitations on acceptable content due to the possible exposure of screens to other individuals. Human Resources must be consulted, in advance, about any proposed restrictions.

SECURITY

Users should use reasonable available methods to safeguard their data, including regular changes of passwords, and encrypting sensitive data. In the event that files have been corrupted as a result of intrusion, you should notify a system administrator immediately. Please note that FDU’s computing resources are not completely secure. It is possible that others will be able to access files by exploiting shortcomings in system security. For this and other reasons, FDU cannot assure confidentiality of files and other transmissions.

The Office of Information Resources and Technology (“OIRT”) and each of its departments attempt to provide reasonable security against damage to files stored on FDU’s computing resources by filtering all outgoing and incoming electronic mail for viruses and junk mail and making regular backups of systems.

In connection with the University’s migration to Office 365, the University adopted a policy of retaining copy of each fdu.edu email for three (3) years. This means, regardless of individual user action, the University will maintain a copy of all email traffic for a period of 3 years.

In the event of lost or damaged files, a reasonable attempt will be made to recover the information; however, the University and the University Information Technology staff cannot guarantee recovery of the data or loss of data due to media failure, floods, fires, etc.

OIRT and each of its departments will make reasonable attempts to provide error-free hardware and software on our computing resources, however, it is not possible to guarantee this, and information provided by staff members is not guaranteed to be correct.

PRIVACY

Users should exercise caution when storing any confidential information in electronic format, because the privacy of such information cannot be guaranteed. User(s) must be aware that any personal files, including e-mail, maintained on University computing resources are University property and are subject to University storage, retrieval, and review. Individuals using FDU computing resources should have no expectation that any information transmitted through or stored on FDU computing resources, whether the information is contained on a computer hard drive, computer disks, University or third party server or in any other manner, will be private. By using FDU computing resources, the user consents to the University’s (and its designees’, both internal and external) access to their electronic files, documents, and materials stored, transmitted, or otherwise accessible on those resources.

Examples of where the University might access a user’s electronic files include system backups, which access all files in a user’s account; software upgrades which may require editing startup files in a user’s account; diagnostic and trouble-shooting activities, which may, for example, require viewing the address headers of e-mail messages to determine the cause of problems; keystroke monitoring of sessions to determine inappropriate use of the computing facilities; searches in connection with a litigation, threatened litigation, governmental proceeding or investigation; investigation of a possible data breach; investigation of possible breach of University policy, rules, handbooks, or protocols; and other measures to safeguard the University’s systems and compliance with laws. These examples are not intended to limit the University’s right to access a user’s electronic files under circumstances deemed appropriate by the University. In such situation(s), University computer resources in the possession of a user, or otherwise assigned to an individual, may be accessed, reviewed, duplicated, stored, and forwarded by appropriate personnel without the user’s permission or knowledge.

Without limitation, because employees are granted access to and use of FDU computing resources to conduct University business, the University reserves the right to access electronic mail messages left on or transmitted through the University’s computing resources. Employees should not assume that such messages are private and confidential or that the University or its designated representatives will not have a need to access and review this information.

The Family Education Rights and Privacy Act (FERPA) binds all users who have access to student data and this policy is subject to FERPA requirements. In general, FERPA gives students more control over their educational records, and it prohibits educational institutions from disclosing “personally identifiable information in education records” without the written consent of the student (subject to specified exceptions). To find out specifically what information you may or may not give out and to whom, contact the office of the Vice President for Student Affairs.

POLICY VIOLATIONS

Policy violations should be reported immediately to any one of the individuals listed in Appendix 1.

Violations of this policy will be addressed as described in the Student, Faculty and/or Employee Handbooks, any relevant contracts, and, if applicable, State and Federal law or regulations. University students and employees who violate this Policy will be met with appropriate disciplinary action, up to and including dismissal, expulsion, or termination from the University. Third parties who violate this Policy may have their relationship with the University terminated and their access to campus restricted. In addition, a user’s system privileges can be suspended for a specified time period or revoked and/or a monetary fine may be imposed on those in violation to reimburse the University for the staff time and other costs of investigating and rectifying the violation.

The University reserves the right to suspend computing resource privileges while investigating a complaint or troubleshooting a system or network problem.

Accessing an FDU Email Account on a Mobile Device Using the Outlook App

The easiest way to access your FDU email account on your mobile device is to install the Outlook app from either the App Store (Apple) or the Play Store (Android). We support and advise using this method due to the program’s robustness and integration of all Office365 features. Follow the steps below to install and set up the Outlook app on your phone.

Adding a FDU Email Account to a Mobile Device’s Native ‘Mail’ App

These instructions demonstrate adding an FDU email account to an Apple mobile device’s native Apple “Mail” app. Unfortunately, adding an FDU email account on an Android OS mobile device’s native “Mail” app is currently unsupported by FDU IT support. Information regarding adding an FDU email account to an Android OS mobile device via the Outlook App can be found below for Android OS mobile device users.

Computer Lab Mission Statement

The FDU computer labs provide a safe and welcoming study space for our users. The computer labs provide access to technological resources such as: current specialty software applications for a variety of majors, access to online libraries for research, internet access, and print services. Our labs are also available to faculty for instruction in both technology-intensive and non-intensive majors. The computer labs are also used as a venue for various workshops and university programs. The lab hours are flexible to meet the needs of both resident students and commuter students. The lab operations also provide on-campus work opportunities for our students to develop their skills and offer customer service and technical support to our campus community.

FDU Computer Labs Provide:

  • A conducive learning space that enables students to develop the skills necessary for collaboration and teamwork.
  • Hands on experience with current hardware and software applications used for a variety of majors.
  • Students access to the same technology resources for the purposes of research, printing, and producing professional work.
  • Customer service and on-site technical support from our student staff.
  • Access and opportunities for students to develop their computer skills.
  • Interactive learning opportunities between faculty and students; theory and application in one setting under the supervision of faculty with the support of student staff.

Computer Lab Reservation Policy

Due to the increasing demand of the academic computer facilities, a general document detailing the policies for computer lab reservations has been outlined. The purpose of the computer lab reservation policy is to provide faculty, staff and students with equitable access to campus computing lab resources. Most computer labs are used as classrooms and they are available for open-access use when there are no classes in session.

There are currently four Computing Services computer labs which can be used for classroom instruction on each campus. They are: D206, D207, D208, and D209 located in the Dreyfuss Building on the Florham Campus. The computer labs located on the Metropolitan Campus are: DH2163 and DH2164 in Dickinson Hall and UH Front Lab (UH22) and UH Back Lab (UH28) in University Hall. Also, there are three multimedia labs; two on the Florham campus and one on the Metropolitan campus. The multimedia labs for the Florham Campus are: D211-Animation Lab and ZEN110 – Graphic Design Lab) located in the Dreyfuss and ZEN Buildings. On the Metropolitan campus, the multimedia lab (MML) is located in Becton Hall Room 403. The multimedia labs are primarily used for courses offered by the FDU School of Arts. All labs used for classroom instruction and general use are equipped with a LaserJet printer and data projector. The Animation Lab is equipped with 3-D printers. All multimedia labs are equipped with ZOOM capability to support hybrid instruction.

Computer Tips, Tricks, and Recommendations

Normalize Sound Levels – Windows

Microsoft Windows 10 automatically adjusts audio levels between different applications. This can affect the level of sounds from various applications depending on what program is currently being used. This feature can be turned off using the instructions below.

Adjust Power Options – Lenovo Laptops

Default power profiles in Windows 10 are configured to balance performance and battery life. To change these settings, please follow the steps below.

Setting DO NOTHING when closing the lid can lead to drastically less battery life as well as overheating when the laptop is placed inside a bag or briefcase.

Restarting A Computer

Rebooting a device is highly encouraged as it will help keep the system running at peak performance. The benefits of a weekly reboot include:

  • Mitigate vulnerabilities to cyber-attacks by applying critical updates
  • Prevent performance degradation
  • Prevent application memory faults
  • Effectively apply system policies

To restart a device, follow the instruction below.

Tip

Make sure any open application is saved and closed before a restart is performed. This includes applications like Outlook, Word, Excel and any other applications that may be opend.

Connecting and Using an All-in-One at Home

How to Connect an All-in-One for Work-at-Home

Making the Physical Connections

  1. Make the appropriate connections to the back of the all-in-one.
    • Plug in the power cable to the power port on the back of the all-in-one.
    • A physical network connection is only required if you do not want to or can not use wireless.
    • Both the keyboard and mouse can be plugged into any USB port.
  1. Turn the PC on and sign in as normal.

Connecting to Wi-fi (Skip if Using a Physical Network Cable)

  1. Click on the network icon on the bottom-right hand of the Start bar near the system clock.
  1. A list of available networks will populate. Select your home wireless network.
  1. Select your network and click “Connect“.
  1. Enter the network key for your wireless router. This can sometimes be located on the side or bottom of your router and/or modem. Click “Next“.

Connecting to VPN from Home

  1. Click on the arrow on the bottom right hand of the Start bar near the system clock and right-click on the “Cisco VPN Access” icon. On the pop-up menu, click “Connect“.
  1. If this is the first time connecting to VPN service please enter the text below as shown into the VPN field and click “Connect“.
  1. Enter your full NetID information and click “Ok“.
  1. Once a successful connection is made a prompt will appear and the icon for the Cisco VPN Access in the system try will appear with a lock.

Encrypting Word & Excel Documents
  1. For Word and/or Excel files, first click on File on the upper left-hand corner
  1. Under the Info tab, click on Protect Document for Word and Protect Workbook for Excel followed by Encrypt with Password
  1. Enter a password in the pop-up window. Re-enter the password in the next window to confirm
  1. The below message will confirm your document has been password-protected
  1. To open a password-protected file, double-click on the file and enter the created password

Encrypting PDF Files

NOTE:

Adobe Acrobat Pro DC or Adobe Acrobat for macOS is needed to encrypt PDF files with a password. This feature is not available in the free version of Adobe Acrobat Reader DC.

  1. Select Tools on the Navigation Tab and then select Protect
  1. On the Protect Tab select Encrypt
  1. Select Encrypt with Password. Then select Yes on the security pop-up window
  1. Check Require a Password to Open the Document and then choose a strong password. Under compatibility, choose Acrobat X and later to change the encryption method to 256-bit.
  1. Confirm the password when requested. Please note that the document WILL NOT be fully encrypted until it is saved
  1. To open the file, double-click the file and enter the created password.

FDU Procedure on Handling Data on Separating Employees

I. OBJECTIVE

Create a standard procedure by which Manager’s and their employee’s transfer University data during the period of time from when an employee makes their intention clear that they are separating from the University or the transfer of University data at the time of an employee’s involuntary separation from the University.

II. PRODUCURES

Voluntary Separation

It is the manager or direct supervisor’s responsibility to work with the separating employee to extract any data or files that reside locally on their computer that would be needed for business continuity. The supervisor should also ensure they understand what shared drives the separated employee used and have access to those drives if need be.

Using appropriate security precautions, the manager should meet several times with the separating employee to ensure all information is transferred over either email, a shared drive, One Drive or a thumb drive.

During the separation process, through the Employee Separation Checklist, the employee’s manager can select the ability to access the separating employee’s email for up to 30 days and/or forward emails addressed to the separated employee for up to 60 days.

Upon receiving the separation notice, Computing Services will validate through our Backup system that the separating employee’s complete laptop or desktop Image has been backed up.

Computing Services will manually trigger an additional backup within three days of separation.

Immediately upon the effective date of the separation, the separating employee’s manager is responsible for turning over the separating employees’ computer to Computing Services.

Computing Services will store the computer for 14 days as a precaution, and then wipe the data from that computer, reimage the computer, and shelf the computer for redistribution.

If it is discovered that information that resided on the separated employee’s computer was missed during the separation process and needs to be retrieved at a later point, the supervisor would need to contact the Vice President of Human Resources and request the specific data that would need to be recovered from our Backup system.

Involuntary Separation

Upon the dismissal of the individual, Human Resources, would immediately engage Computing Services as well as the direct supervisor to view and extract any data that might be needed by the department to ensure business continuity. This would take place as soon as possible from the date of dismissal.

If a legal hold is required, Computing Services and USAN would be notified and the existing processes of extracting and encrypting the hard drive as well as protecting all email correspondence would be executed. Computing Services would then remove the computer.

If a legal hold is not required, Computing Services will validate through our Backup system that the dismissed employee’s Image has been properly backed up and remove the computer.

Computing Services will store the computer for 14 days as a precaution, and then wipe the data from that computer, reimage the computer, and shelf the computer for redistribution.

If it is discovered that information that resided on the separated employee’s computer was missed during the separation process and needs to be retrieved at a later point, the supervisor would need to contact the Vice President of Human Resources and request the specific data that would need to be recovered from our Backup system.

How To Change Your FDU NetID Password and Display Name

There are a few different ways to change your University NetID password. However, Computing Services strongly urges everyone to change their FDU NetID password using a provided Apple or Windows university computer.

The process for changing your FDU NetID password on a macOS device differs from a Windows device, so please follow the instructions provided for macOS computers below.

If you do not have a university-owned Apple or Windows laptop/desktop and cannot use a University lab computer, please follow the procedures described in “Using identity.fdu.edu Web Portal to Change your FDU NetID Password” below.

Changing a FDU NetID Password on a FDU-owned Windows Computer

Note

You must already be logged into the machine when performing the password change process.

  1. On FDU-issued laptops, desktops, and lab machines, the FDU NetID password can be changed by pressing the “Ctrl+Alt+Del” button combination on the keyboard from any screen and selecting “Change a Password
  1. Now enter the following:
    • Your old or current password
    • Type in a new password
    • Retype the new password to confirm
    • Press the “Right Arrow” button to continue

Tip

The newly created FDU NetID password must meet the complexity requirements.

Use 8 to 16 characters for your new password. Passwords must include all of the following 4 character types: Upper case letters, lower case letters, numbers, and special characters. Allowed special characters are: ! # $ @ _ + , ? [ ] . – ) ( ` ~ % ^ & * = { } | : ? , / and a dot. Please refrain from using portions of your name or email address within the password. Please refrain from using a password that you have already used.

  1. Once this has been done, you must lock and unlock the machine once to complete updating your password:
    • Press the “Ctrl+Alt+Del” keys combination again
    • Click “Lock
    • Then log back in with your new password

Your FDU NetID password was changed successfully!

Note

Your new password will need to be updated in all web browsers with saved passwords and email clients across all devices. Examples include faculty and staff e-mail accounts synched to their iPad, iPhone, and or Android device. FDU-Secure Wi-Fi network access is also attached to your FDU NetID username and password and will need to be updated on devices that use it.

Using “identity.fdu.edu” Web Portal to Change your FDU NetID Password

Adjunct professors, students, and anyone with a personal laptop/desktop/tablet device will use the FDU Identity Web Portal to change their NetID password.

If the user has an FDU issued or owned Microsoft Windows-based machine, they should always follow the procedures in Changing a NetID Password while ON CAMPUS (Preferred Method) or “Changing a NetID Password while OFF-CAMPUS.”  Changing your FDU NetID password through the identity.fdu.edu Web Portal while having an FDU-issued or owned Microsoft Windows-based machine could cause temporary account lockouts and should only be used as a last resort. If lockout issues occur, please open up a service request with the Fairleigh Dickinson University Technical Assistance Center (UTAC), and they will be dealt with promptly.

  1. Open a web browser (e.g., Google Chrome, Mozilla Firefox, Internet Explorer, Safari) and navigate to the following URL:

Reserving a Computer Lab for Specific Dates within a Semester

  1. Access the reservation system by visiting
  1. Once logged into the support website, locate ‘Forms for Faculty & Staff’ and click on the “Computing Services – Lab Reservation & Lab Software Request (Faculty & Staff NJ Only)” option.
  2. You will be directed to a reservation request form. Please provide the necessary details, such as the desired date, time, and location of the lab reservation. Additionally, please include any specific requirements or equipment you may need for your session.
  3. After completing the form, you can submit your request by locating and clicking the submit button.
  4. Once your request has been submitted, the Lab & Operations Manager will review and confirm the details of your request. You will receive written confirmation of your request.

Limited Troubleshooting Support for Personal Devices

This document outlines how the help desk should handle issues regarding supporting personal hardware.

All support tickets for personal hardware will need to be created and supported by the help desk. Limited support will be provided by completing basic troubleshooting and diagnostics.

This includes:

  • Laptops and Desktops
  • iMacs and MacBooks
  • Docking Stations, Monitors, and Peripherals
  • Mobile phones and Tablets

Note

The help desk should communicate directly to the users that limited support can be provided for personally owned devices, the Help Desk will assist by providing the below troubleshooting steps. Escalation of the request to Computing Services can be performed. If additional support is needed Computing Services will direct the user to contact their hardware manufacturer for additional support directly if needed.

The following basic troubleshooting steps can and should be performed when any of the above hardware is having issues:

  • The device should be power cycled and/or rebooted to ensure all device resources have been refreshed.
  • If the machine or device is frozen locate and hold the power button for a minimum of 60 seconds until the device has powered down and then have the user power on the device and attempt to use the equipment.
  • The help desk can check and confirm if any updates have recently been loaded on the workstation that may be pending a machine reboot to complete the installation.

The following should not be performed on any personal machines:

  • Upgrading or downgrading of any Microsoft or Apple operating system.
  • Removing and/or reinstalling any licensed software such as but not limited to Microsoft Office, Microsoft Visio, Microsoft Project, Adobe Creative Cloud, etc.
  • Other software such as antivirus, games, or manufacturer-issued diagnostic utilities.

Regarding the troubleshooting of issues related to personal docking stations, monitors, peripherals, mobile phones and tablets. The basic functions of unplugging the power cable and/or power cycling the equipment will be the acceptable troubleshooting necessary.

We do not want to perform any updates for devices operating systems such as mobile phones or tablets. The steps involved in completing these kinds of updates require a more extensive timeframe to be available to successfully be completed.

Managing Clutter in Outlook

What is Clutter?

Microsoft has implemented a new feature to its mail client called Clutter. Clutter acts as a filter that separates e-mails that it Deems low priority. The e-mails are placed in a folder and are out of sight, with no notifications visible to the user. The problem with Clutter is that it is a learning program that tries to guess what emails are important or low priority and might filter out emails that you need.

Disabling Clutter rules in Outlook 

If you wish to disable clutter, log in to Office 365 using our portal office365.fdu.edu with your NetID credentials.

  1. Look for the settings icon on the upper right corner of your window and click on it
  2. Click on the “Mail” option under “Your app settings”
  1. Drill down to “Mail > Automatic processing > Clutter”
  2. Uncheck “Separate items identified as clutter”

A New Teams client is rolling out! Though it looks nearly identical to classic Teams, it has been redesigned from the ground up to take advantage of future developments. Microsoft will Discontinue the use of the classic team’s app in July of 2024.

This tutorial will outline how to upgrade to the New Teams and the commonly access changes.

How To Upgrade

Looking for the new Teams experience? The upgrade process itself is quick and silent, where Microsoft 365 will install the new Teams client in the background.

  • For all university owned computers, the new Teams has been silently rolling out in the background and may be presented with as the following options to switch over

  • You may be presented with an option to Upgrade your device with the New Teams experience
Prompt to upgrade your device with the New Teams experience
  • A toggle will present itself if the above processes have already been performed and are on the classic Teams experience.

During the transition phase, which will end in June of 2024, you might see two icons. The old Teams is labelled Microsoft Teams classic (work or school), and the new Teams will be labelled Microsoft Teams (work or school). The new Teams will also have a cyan “New” label on the icon as well.

You’ll always want to open the new Teams unless you have a specific reason not to (like troubleshooting a Teams Application issue).

Microsoft Teams Changes

Device Settings

When you’re upgraded to the new Teams, your display settings will reset. Here’s how to change the most commonly accessed display settings.

  1. Click on the “Ellipses” in upper right-hand corner, and then “Settings”
  1. The default theme for new Teams is Light, which appears grey. Dark will color the window black. Classic will bring back the purple/gray theme from classic Teams
  1. Another commonly changed display setting is Layout. You can choose your Teams to display in a Grid view, which is the new Teams default, or a List view, which will show all your Teams in a list on the left, similar to how Outlook displays folders.

There are many other settings in Teams, and we encourage you to review your device settings and video effects (blurred and custom backgrounds) prior to joining your next meeting. Custom backgrounds may need to be re-added.

FAQ

What happened to my Contacts list on the Chat tab?

Microsoft has moved the Contacts list to the People app. You can find People by clicking the “” tab in the left navigation bar and typing “People” in the search.

To pin it to your sidebar, right click “People” then select “Pin”

Note

If People is not able to be found when searching, this means that the People App is already Pinned.

Where are my Saved Items?

Saved Items are not currently available in new Teams. Microsoft plans to release a new functionality that will replace it and offer you a method for exporting Saved Items from Teams Classic in the near future. For now, Microsoft recommends using Classic Teams to access Saved Items.

Why are my Office documents opening in my browser or Teams app unexpectedly?

We have observed some cases where upgrading to new Teams will reset your file open preference. You can change it by going to “Settings > Files and Links” from the (•••) menu at the upper right.

Why can’t I tag some private channels?

We have observed that you cannot @ mention or tag some private channels in the new Teams experience. This issue appears most likely to affect older private channels and has been reported to Microsoft.

Install and Launch Options

If you are using a mobile device, or your personally owned computer, you can download Microsoft Team using the link below.

The page will automatically detect your operating system and redirect you to the appropriate desktop client (e.g. Windows, macOS) or mobile client (e.g. Android, Apple iOS).

The Microsoft Teams application is automatically pushed to all university owned computers. To determine if you already have it installed, search for “Teams” using the Windows Search Bar or Spotlight Search on Apple devices. If you are working on a university computer and you cannot locate the Microsoft Teams application, you can install by following the instructions below.

Windows – FDU Self Service Portal for Software

  1. Press the “Windows key” on your keyboard and type “FDU Self”
  1. Launch FDU Self Service Portal for Software” from the search results list
  1. Select the “Microsoft Teams” experience from the list and click “Install”

The classic Teams experience will be available until the end of June of 2024.

Web – Access the Office Web Application

The web client is a full, functional client that can be used from a variety of browsers including Google Chrome, Edge Browser, and Mozilla Firefox. Microsoft Teams will also be available on Safari soon. 

  1. From an internet browser, click the link below:

  2. Click the “App Launcher”, then click “Teams” from the list of apps

Starting a Conversation

Teams allow’s for text-based conversations using the Chat feature. Although it does not replace email in all use cases, it is a great tool for asking quick questions or just saying hello. When using chat, please be mindful and adhere to FDU’s Written Information Security Program.

  1. Select “Chat” from the left menu and then click on the top search bar

Navigating the Chat Window

The Chat window has many convenient tabs and shortcuts aimed at improving collaboration. Near the top of the screen, next to the name of the contact that you are chatting with, you will notice the default tabs, followed by a plus sign.

  2. Files: tab contains all files shared in during the conversation
  3. Organization: Two person conversations, the Organization tab shows your contact’s organization chart. This information is pulled from Office 365

  1. In two person conversations, the “Activity” tab will list the latest activity of your contact
  2. You can use the “+ sign” to create a new tab from a file or an app. This can be a quick and convenient way to access a collaborative file that was previously shared in the conversation

To the right of these tabs are a series of shortcut icons which perform the following functions.

Shortcuts – New Team

  1. Audio Call icon starts a new voice call
  2. Add people icon is used to invite additional people to the chat
  3. Ellipses is used for additional features:
    • Open Chat in New Window: Pops chat in separate window
    • Schedule Meeting: schedules a meeting with individual
    • Screen Sharing: initiates a screen sharing session and calls individual
    • Pin: Pins person to pinned section in teams

Depending on your screen resolution and application window size, your view may differ from the picture above, but all options outlined will be available.

Managing Contacts – Now Called People

The Chat function allows you to have conversations with one person or groups of people. In classic Teams, this is known as Contacts and in the New teams, this is called People.

The pane on the left-hand side of the screen is split into Recent and Contacts. Contacts acts like a rolodex that allows you to store and sort a list of the people you contact most frequently. The Recent list will display your most recent conversations with single people or group messages.

Types of Contacts

There are two types of contacts, directory contacts which come from your organization, and local contacts which you can add from scratch to your copy of Teams.

  • Directory contacts have some fields set by your organization, and additional fields which can be edited by you.
  • Local contacts are stored within your local copy of Teams, and do not synch with an organization’s directory.

Note

For contacts you create based on company directory, the admin may control some of the fields, like the name and email. They will appear grayed out and you will not be able to modify them. 

Classic Teams – Contacts

By default, the Contacts tab will already have a “Favorites” group. However, creating new groups can be a helpful way to organize your contacts. For example, you may wish to create a group for people that you are working with on a project or for people that you interact with from a department.

  1. To create a new contact group, click “Create a new contact group” on the bottom of the pane
  1. Enter a name for your group, and click “Create”
  1. To add contacts to a group, click the “More options” icon (•••) next to the group name and select “Add a contact to this group” from the drop-down menu
  1. Begin typing the name of your contact. Once you see their name appear, select it and select “Add”

You can add the same contact to as many groups as you would like. The chat with your contact will remain the same regardless of which group you are accessing the conversation from.

New Teams – People

Microsoft has moved the Contacts into the People App. By default, the People tab will already have a “Favorites” group and a “My Group” category. However, creating new categoriess can be a helpful way to organize your contacts.

For example, you may wish to create a category for people that you are working with on a project or for people that you interact with from a department.

  1. Find the contact you wish to be added to favorite and click the star in front of their name

  1. Type in the name of the new Category, search for an existing category, or select from the provided list

Sharing Your Screen

Screen sharing is one of Microsoft Teams’ most powerful collaborative features. You can show your screen to your colleagues and even grant them control to edit Microsoft Office files with you in real time.

Note

Before you get started, make sure that you are using the installed version of Microsoft Teams, as the browser-based Teams version does not support this functionality. 

  1. From the chat window or from an ongoing call, click on the “Screen Sharing / Share” icon

Once you select the screen you wish to share, the members of your chat or call will be able to view your screen and request access to remotely control your desktop or program.

You can only share your screen with a mobile device user if you are engaged in an active voice or video call with them.

Requesting a Team

Creating a team provides remote team members with the ability to work together and share information via a common online space. You can also organize your information by creating channels to help optimize your team’s workflow.

To create a Microsoft Team, you must request one using an online form on SAMI Support. To request a team please follow these instructions:

  1. Navigate to the SAMI Support using the link below, logging in with your FDU NetID account

  1. Click on the “Forms Tile for Faculty and Staff”
  1. Scroll down to “Microsoft Team Request” and click on it to expand the information
  1. Fill out all the fields and click on the “Submit” button

Note

You can specify additional team owners. Owners will have rights to invite and make other changes to the team after its creation.

  1. You should now see a screen informing you that your form was successfully submitted

Please allow 3 to 5 business days for the Team to be created.

  1. You will receive an email once the team is created. The next time you log in to Teams you will see your team listed in the Teams section
  1. Click on your team to open the general channel. From here you can create channels, add users, and customize your team. Any team members that you add will receive an email notifying them that they were added to your team. The next time that they log in or open Teams, they will find the team listed in their Teams section

Creating Channels

Channels are dedicated sections within a team. You can keep conversations organized by specific topics, projects, disciplines, or whatever works for your team! Channels are where conversations happen and where the work gets done. There can be public channels which are open to all team members or, if you require a more select audience, private channels can be open to a subset of your team.

  1. Select Teams from the menu on the left-hand side of the screen. If you have multiple teams, select your team of choice
  1. Click on the “More options” icon (•••) next to the team name and select “Add channel”
  1. Give the channel a name, and a brief description as if would would like
  2. Select your channel’s preferred level of privacy and press “Add”

Standard channels are open for anyone to join
Private channels are invitation only

  1. If you selected “Private” you will see a window that lets you add the team members that should have access to the channel. Once all members are added, press “Close”
  1. Once a channel is created it will show up under the General channel in the channels list. If the channel was set to Private, only the members can see it. Anyone who belongs to the channel can click on it to view its contents

Note

Since channels are sections within a team, it is not possible to add members to a channel that are not part of the team.

Managing a Team

Now that your teams and channels are created, you can begin to take advantage of Microsoft Teams’ management features. Team management includes essential functions such as adding and removing members, assigning permissions for individual members, and managing your channels. You can also implement granular customizations such as setting parameters on the use of tags and emojis.

  1. Select Teams from the left menu. If you have more than one team, click on your team
  2. Click “More Options” icon (•••) next to the team name and select “Manage Team”. From here, you can select one of the following tabs

Manage Members Tab

  • Add a member by clicking “Add Member” button on the top right of the window
  • Remove a member by pressing “X” button on the right of their name
  • Use the drop-down menu to change a member’s role to Owner. This allows them full access to change settings

Manage Request Tab

  • Use this tab to accept or deny a person’s request to join your team

Manage Channels Tab

  • Create a channel by pressing the “Add channel” button on the top right of the window
  • You can restore deleted channels by expanding the “Deleted” list and pressing on “Restore”

The experience for managing a team setting varies between both the classic and new Teams.

  • Team picture: is an optional setting which allows you to set a profile picture for your team. You can upload your own image or use one of the colorful templates provided by Microsoft
  • Member permissions: to set editing permissions for your team members
  • Guest permissions: settings you can allow guests to create, update, and delete channels
  • @mentions: lets you choose if you allow the @mention function to send notifications to individuals or entire channels
  • Team code: will provide you with a join code that you can give out to new members. This will allow them to join without being placed in the Pending Requests section
  • Fun stuff: lets you allow gifs and memes to be displayed on the channel
  • Tags: setting to decide who can use the tags feature. With tags, your team members can add labels help them better identify other members of the team

Starting an Instant Meeting

Instead of scheduling a meeting for a future date, you can start one right away and invite people in on the fly.

  1. Select “Calendar” from the left-hand side of the screen and press “Meet Now”
  1. Give your meeting a name, select audio and video options, and press on “Join Now”

  1. Your meeting should start with the “Participants” tab displayed so you can start inviting people right away. As you search for people and add them to your meeting, they will receive a call to be connected

Joining a Meeting

Meetings in Teams include audio, video, and screen sharing. They’re one of the key ways to collaborate in Teams.

Join

Depending on the Metting owner’s settings, you may receive a message that you are waiting for the host to let you into the meeting. You will remain on the Join Meeting Options Screen until you are admitted into the meeting.

  1. If you are the first participant that joined the meeting, you will see a black screen informing you that you are waiting for other members to join. As people join the meeting they will show up on the screen. If you are the host and your meeting has the lobby opened, you will have to admit everyone who joins the meeting

  1. When you are done with the meeting, close it by pressing the red telephone icon to “Hang up” the call

Scheduling a Meeting

Due to Office 365 calendar integration, scheduling video and voice meetings on Microsoft Teams is simple and convenient.

  1. Select the “Calendar” tab from the left-hand side of the screen. This screen displays your entire FDU Office 365 calendar. Next, press “New Meeting” button on the top right of the window

You will notice that the New Meeting window offers 2 tabs: “Details & Scheduling Assistant”

  1. From the “Details” tab, enter the following information about your meeting:
  • Title
  • Required Attendees

You can also add optional attendees by pressing + optional button

  • Time
  • Specify whether the meeting reoccurs
  • Add Channel is optional and lets you specify an entire Teams channel to receive a meeting notification
  • Add location is optional and enables you to select a physical location for members to meet at
  • Add details like the topic of discussion, meeting outline, etc

  1. The “Scheduling Assistant” tab allows you to view the calendar of all attendees to check for availability. It is possible to adjust the meeting time on this tab

A New Teams client is rolling out! Though it looks nearly identical to classic Teams, it has been redesigned from the ground up to take advantage of future developments. Microsoft will Discontinue the use of the classic team’s app in July of 2024.

This tutorial will outline how to upgrade to the New Teams and the commonly access changes.

How To Upgrade

Looking for the new Teams experience? The upgrade process itself is quick and silent, where Microsoft 365 will install the new Teams client in the background.

  • For all university owned computers, the new Teams has been silently rolling out in the background and may be presented with as the following options to switch over

  • You may be presented with an option to Upgrade your device with the New Teams experience

  • A toggle will present itself if the above processes have already been performed and are on the classic Teams experience.

During the transition phase, which will end in June of 2024, you might see two icons. The old Teams is labelled Microsoft Teams classic (work or school), and the new Teams will be labelled Microsoft Teams (work or school). The new Teams will also have a cyan “New” label on the icon as well.

You’ll always want to open the new Teams unless you have a specific reason not to (like troubleshooting a Teams Application issue).

Device Settings

When you’re upgraded to the new Teams, your display settings will reset. Here’s how to change the most commonly accessed display settings.

  1. Click on the “Ellipses” in upper right-hand corner, and then “Settings”
  1. The default theme for new Teams is Light, which appears grey. Dark will color the window black. Classic will bring back the purple/gray theme from classic Teams
  1. Another commonly changed display setting is Layout. You can choose your Teams to display in a Grid view, which is the new Teams default, or a List view, which will show all your Teams in a list on the left, similar to how Outlook displays folders.

There are many other settings in Teams, and we encourage you to review your device settings and video effects (blurred and custom backgrounds) prior to joining your next meeting. Custom backgrounds may need to be re-added.

FAQ

What happened to my Contacts list on the Chat tab?

Microsoft has moved the Contacts list to the People app. You can find People by clicking the “” tab in the left navigation bar and typing “People” in the search.

To pin it to your sidebar, right click “People” then select “Pin”

Note

If People is not able to be found when searching, this means that the People App is already Pinned.

Where are my Saved Items?

Saved Items are not currently available in new Teams. Microsoft plans to release a new functionality that will replace it and offer you a method for exporting Saved Items from Teams Classic in the near future. For now, Microsoft recommends using Classic Teams to access Saved Items.

Why are my Office documents opening in my browser or Teams app unexpectedly?

We have observed some cases where upgrading to new Teams will reset your file open preference. You can change it by going to “Settings > Files and Links” from the (•••) menu at the upper right.

Why can’t I tag some private channels?

We have observed that you cannot @ mention or tag some private channels in the new Teams experience. This issue appears most likely to affect older private channels and has been reported to Microsoft.

Install and Launch Options

If you are using a mobile device, or your personally owned computer, you can download Microsoft Team using the link below.

The page will automatically detect your operating system and redirect you to the appropriate desktop client (e.g. Windows, macOS) or mobile client (e.g. Android, Apple iOS).

The Microsoft Teams application is automatically pushed to all university owned computers. To determine if you already have it installed, search for “Teams” using the Windows Search Bar or Spotlight Search on Apple devices. If you are working on a university computer and you cannot locate the Microsoft Teams application, you can install by following the instructions below.

Windows – FDU Self Service Portal for Software

  1. Press the “Windows key” on your keyboard and type “FDU Self”
  1. Launch FDU Self Service Portal for Software” from the search results list
  1. Select the “Microsoft Teams” experience from the list and click “Install”

The classic Teams experience will be available until the end of June of 2024.

Web – Access the Office Web Application

The web client is a full, functional client that can be used from a variety of browsers including Google Chrome, Edge Browser, and Mozilla Firefox. Microsoft Teams will also be available on Safari soon. 

  1. From an internet browser, click the link below:

  1. Sign in to your FDU Office 365 account using your NetID and NetID account password
  2. Click the “App Launcher”, then click “Teams” from the list of apps

Starting a Conversation

Teams allow’s for text-based conversations using the Chat feature. Although it does not replace email in all use cases, it is a great tool for asking quick questions or just saying hello. When using chat, please be mindful and adhere to FDU’s Written Information Security Program.

Navigating the Chat Window

The Chat window has many convenient tabs and shortcuts aimed at improving collaboration. Near the top of the screen, next to the name of the contact that you are chatting with, you will notice the default tabs, followed by a plus sign.

  2. Files: tab contains all files shared in during the conversation
  3. Organization: Two person conversations, the Organization tab shows your contact’s organization chart. This information is pulled from Office 365

  1. In two person conversations, the “Activity” tab will list the latest activity of your contact

Starting an Instant Meeting

Instead of scheduling a meeting for a future date, you can start one right away and invite people in on the fly.

  1. Select “Calendar” from the left-hand side of the screen and press “Meet Now”
  1. Give your meeting a name, select audio and video options, and press on “Join Now”

Joining a Meeting

Meetings in Teams include audio, video, and screen sharing. They’re one of the key ways to collaborate in Teams.

Depending on the Metting owner’s settings, you may receive a message that you are waiting for the host to let you into the meeting. You will remain on the Join Meeting Options Screen until you are admitted into the meeting.

  1. If you are the first participant that joined the meeting, you will see a black screen informing you that you are waiting for other members to join. As people join the meeting they will show up on the screen. If you are the host and your meeting has the lobby opened, you will have to admit everyone who joins the meeting

  1. When you are done with the meeting, close it by pressing the red telephone icon to “Hang up” the call

Scheduling a Meeting

Due to Office 365 calendar integration, scheduling video and voice meetings on Microsoft Teams is simple and convenient.

  1. Select the “Calendar” tab from the left-hand side of the screen. This screen displays your entire FDU Office 365 calendar. Next, press “New Meeting” button on the top right of the window

You will notice that the New Meeting window offers 2 tabs: “Details & Scheduling Assistant”

  1. From the “Details” tab, enter the following information about your meeting:
  • Title
  • Required Attendees

You can also add optional attendees by pressing + optional button

  • Time
  • Specify whether the meeting reoccurs
  • Add Channel is optional and lets you specify an entire Teams channel to receive a meeting notification
  • Add location is optional and enables you to select a physical location for members to meet at
  • Add details like the topic of discussion, meeting outline, etc

Microsoft Scheduling Poll in Outlook

Through Microsoft Outlook’s Scheduling Poll (formerly FindTime), you can select a few possible meeting times and send attendees a link to a poll that allows them to vote for what meeting time works best for them. Once a consensus is reached, you schedule the meeting for the preferred time.

  • Like the Scheduling Assistant, the Scheduling Poll allows you to preview attendees’ FDU Outlook calendars (if available) so that the best possible options can be selected. This particular aspect of the feature will be less useful for attendees who…
    • DO NOT have FDU Outlook calendars
    • Have FDU Outlook calendars, but don’t keep them up-to-date
  • The Scheduling Poll has other convenient features, including email updates, the ability to schedule a meeting automatically, and more.
  • When using the Outlook web client, the Scheduling Poll feature is not available for emails composed in plain text. Emails must be composed in HTML.

Note

Doodle, a meeting scheduler add-in for Outlook, is not an approved application for use at FDU. Please use Microsoft Scheduling Poll as your meeting scheduling tool, as detailed in this article.

Where can I access the Scheduling Poll feature?

Windows

You can access the Scheduling Poll via the Mail or Calendar tabs of the Outlook desktop application.

In Mail, you can access the Scheduling Poll as follows:

  1. Select “Reply with Scheduling Poll” on the “Home” tab when an email is open in the reading pane
  1. Launch the compose pane by either creating a new message or hitting reply/forward for an existing message. List required recipients in the “To” field and optional recipients in the “CC” field. Then, on the “Message” tab, select “New Scheduling Poll”

In Calendar, you can access the Scheduling Poll as follows:

  1. Either by launching the compose form to create a new meeting event or opening an existing event in the edit form. List required attendees in the “Required” field and optional attendees in the “Optional” field. Select “New Scheduling Poll” under the “Meeting” tab
  1. Start a new message or event
  2. In the “Subject/Title” field, type what will eventually become the event’s name.
    • For example, “Team Meeting”
  3. In the “To/Required” or Optional fields, add the people who will be attendees for this meeting. They do not all have to be from FDU. Scheduling Polls can be sent to and completed by non-FDU email addresses

How do I finalize, vote, and manage a Scheduling Poll?

This section describes how to manually send an invite from scheduling poll results. When setting up your poll, you can also have Outlook automatically send an invite if/when your attendees reach a consensus.

  1. Visit the Scheduling Poll Dashboard on the Web and enter your FDU NetID credentials

  1. If necessary, select your name from the list of attendees
  1. Vote for meeting times by selecting “Preferred, Yes, or No”
  1. Depending on how the poll was set up, you may be able to add more attendees or meeting times to the poll
  2. When you’re ready, press “Vote” to submit your responses

Tip

If you need to change your responses, you can press the “Vote” button again in the original email and repeat the process.

Install and Launch Options

If you are using a mobile device, or your personally owned computer, you can download Microsoft Team using the link below.

The page will automatically detect your operating system and redirect you to the appropriate desktop client (e.g. Windows, macOS) or mobile client (e.g. Android, Apple iOS).

The Microsoft Teams application is automatically pushed to most university owned computers. To determine if you already have it installed, search for “Teams” using the Windows Search Bar or Spotlight Search on Apple devices. If you are working on a university computer and you cannot locate the Microsoft Teams application, you can install by following the instructions below.

Windows – Portal Manager

  1. Press the Windows key on your keyboard and type Portal Manager
  2. Launch Portal Manager from the search results list
  1. Select Microsoft Teams from the list and click Install

Mac – FDU Self Help

  1. Press cmd+space on your keyboard and type FDU Self Service
  1. Launch FDU Self Service from the spotlight search results
  1. Locate and double click on Microsoft Teams. If Teams is already installed, it will not show up on the list

Web – Access the Office Web Application

The web client is a full, functional client that can be used from a variety of browsers including Google Chrome, Edge Browser, and Mozilla Firefox. Microsoft Teams will also be available on Safari soon. 

  1. From an internet browser, go to  office365.fdu.edu
  2. Sign in to your FDU Office 365 account using your NetID and NetID account password
  3. Select  Teams from the list

Starting a Conversation

Teams allows for text-based conversations using the Chat feature. Although it does not replace email in all use cases, it is a great tool for asking quick questions or just saying hello. When using chat, please be mindful and adhere to FDU’s Written Information Security Program.

  1. Select Chat from the left menu and then click on the top search bar
  1. Type the name of the person you are attempting to locate and click on their name. Only FDU faculty, staff, and students are accessible in Microsoft Teams
  1. You will be brought to the chat window and can start your conversation

Navigating the Chat Window

The Chat window has many convenient tabs and shortcuts aimed at improving collaboration. Near the top of the screen, next to the name of the contact that you are chatting with, you will notice the default tabs, followed by a plus sign.

Tabs

  1. The Chat tab contains the conversation
  2. The Files tab contains all files shared in during the conversation
  3. In two person conversations, the Organization tab shows your contact’s organization chart. This information is pulled from Office 365. Datatel remains the authoritative source for this information and the data contained here is not intended to be 100% accurate
  4. In two person conversations, the Activity tab will list the latest activity of your contact
  5. You can use the + sign to create a new tab from a file or an app. This can be a quick and convenient way to access a collaborative file that was previously shared in the conversation

To the right of these tabs are a series of shortcut icons which perform the following functions.

Shortcuts

a. The Video call icon starts a new video call
b. The Audio call icon starts a new voice call
c. The Screen sharing icon allows you to share your desktop or an application
d. The Add people icon is used to invite additional people to the chat
e. The Pop out chat icon creates a separate window with your chat

Managing Contacts

The Chat function allows you to have conversations with one person or groups of people. The pane on the left-hand side of the screen is split into Recent and Contacts. Contacts acts like a rolodex that allows you to store and sort a list of the people you contact most frequently. The Recent list will display your most recent conversations with single people or group messages.

By default, the Contacts tab will already have a “Favorites” group. However, creating new groups can be a helpful way to organize your contacts. For example, you may wish to create a group for people that you are working with on a project or for people that you interact with from a department.

  1. To create a new contact group, click “Create a new contact group” on the bottom of the pane
  1. Enter a name for your group, and click “Create
  1. To add contacts to a group, click the “More options” icon (3 dots) next to the group name and select “Add a contact to this group” from the drop-down menu
  1. Begin typing the name of your contact. Once you see their name appear, select it and select “Add

You can add the same contact to as many groups as you would like. The chat with your contact will remain the same regardless of which group you are accessing the conversation from.

Sharing Your Screen

Screen sharing is one of Microsoft Teams’ most powerful collaborative features. You can show your screen to your colleagues and even grant them control to edit Microsoft Office files with you in real time.

Before you get started, make sure that you are using the installed version of Microsoft Teams, as the browser based OWA version does not support this functionality.

  1. From the chat window or from an ongoing call, click on the “Screen sharing / Share” icon
  1. You be given a choice to either share your desktop or an application from the Microsoft Office suite, click on the window you want to share

Once you select the screen you wish to share, the members of your chat or call will be able to view your screen and request access to remotely control your desktop or program.

You can only share your screen with a mobile device user if you are engaged in an active voice or video call with them.

Requesting a Team

Creating a team provides remote team members with the ability to work together and share information via a common online space. You can also organize your information by creating channels to help optimize your team’s workflow.

  1. Navigate to the forms website and log in using you FDU NetID account information
  1. Scroll down to Microsoft Team Request and click on it to expand the information
  1. Fill out all the fields and click on the “Request Microsoft Team” button

Note

You can specify additional team owners. Owners will have rights to invite and make other changes to the team after its creation.

  1. You should now see a screen informing you that your form was successfully submitted. Please allow 3 to 5 business days for the Team to be created
  2. You will receive an email once the team is created. The next time you log in to Teams you will see your team listed in the Teams section
  1. Click on your team to open the general channel. From here you can create channels, add users, and customize your team. Any team members that you add will receive an email notifying them that they were added to your team. The next time that they log in or open Teams, they will find the team listed in their Teams section

Creating Channels

Channels are dedicated sections within a team. You can keep conversations organized by specific topics, projects, disciplines, or whatever works for your team! Channels are where conversations happen and where the work gets done. There can be public channels which are open to all team members or, if you require a more select audience, private channels can be open to a subset of your team.

  1. Select Teams from the menu on the left-hand side of the screen. If you have multiple teams, select your team of choice
  1. Click on the “More options” icon (3 dots) next to the team name and select “Add channel
  1. Give the channel a name. Optionally, you can write in a brief description as well
  2. Select your channel’s preferred level of privacy and click “Add
  • Standard channels are open for anyone to join.
  • Private channels are invitation only.
  1. If you selected “Private” you will see a window that lets you add the team members that should have access to the channel. Once all members are added, click “Close
  1. Once a channel is created it will show up under the General channel in the channels list. If the channel was set to Private, only the members can see it. Anyone who belongs to the channel can click on it to view its contents

Note

Since channels are sections within a team, it is not possible to add members to a channel that are not part of the team.

Managing a Team

Now that your teams and channels are created, you can begin to take advantage of Microsoft Teams’ management features. Team management includes essential functions such as adding and removing members, assigning permissions for individual members, and managing your channels. You can also implement granular customizations such as setting parameters on the use of tags and emojis.

  1. Select Teams from the left menu. If you have more than one team, click on your team
  2. Click “More Options” icon (3 dots) next to the team name and select “Manage Team“. From here, you can select one of the following tabs

Manage Members Tab

  • Add a member by clicking “Add Member” button on the top right of the window
  • Remove a member by clicking “X” button on the right of their name
  • Use the drop-down menu to change a member’s role to Owner. This allows them full access to change settings

Manage Request Tab

  • Use this tab to accept or deny a person’s request to join your team

Manage Channels Tab

  • Create a channel by clicking the Add channel button on the top right of the window
  • You can restore deleted channels by expanding the Deleted list and clicking on Restore

Manage Settings Tab

  • The Team picture is an optional setting which allows you to set a profile picture for your team. You can upload your own image or use one of the colorful templates provided by Microsoft
  • Use Member permissions to set editing permissions for your team members
  • With the Guest permissions settings you can allow guests to create, update, and delete channels
  • @mentions lets you choose if you allow the @mention function to send notifications to individuals or entire channels
  • Team code will provide you with a join code that you can give out to new members. This will allow them to join without being placed in the Pending Requests section
  • Fun stuff lets you allow gifs and memes to be displayed on the channel
  • Use the Tags setting to decide who can use the tags feature. With tags, your team members can add labels help them better identify other members of the team

Choosing a Team Type

When you create a new team in Microsoft Teams, you’ll be asked to select from one of four teams.

What is the difference between Office 2021 (one-time purchase) and Microsoft 365 (subscription)?

Microsoft 365 is a subscription-based software service that comes with premium apps like Word, Excel, PowerPoint, OneNote, Outlook, Publisher, and Access (Publisher and Access available on PC only). The apps can be installed on multiple devices, including PCs, Macs, iPads, iPhones, Android tablets, and Android phones. Microsoft 365 also comes with services like 1 TB of OneDrive storage, and Microsoft chat and phone support. With a subscription, you get the latest versions of the apps and automatically receive updates when they happen.

Office 2021 is sold as a one-time purchase, which means you pay a single, up-front cost to get Microsoft 365 apps for one computer. One-time purchases are available for both PCs and Macs. However, there are no upgrade options, which means if you plan to upgrade to the next major release, you’ll have to buy it at full price.

The following tutorial will guide you through the process of connecting a printer while on-campus. Faculty and Staff members should review the purchasing process before engaging with the process for connecting a printer.

Note

Wireless printing is not permitted on campus. The information below is for wired connections only.

Connecting a Printer for Students in the Residence Halls

Most new printers are plug and play compatible with Windows 10. When you receive your new printer, you can unbox it and remove any orange tape you see. After plugging in the power and turning the printer on, allow the printer to initialize (most new printers will have a display to show you it’s progress). When the printer finishes initializing, just connect the usb printer cable from the printer to your computer. Windows 10 should automatically install the printer for you.

Printer Purchasing Process for Faculty and Staff

All printer purchases for faculty and staff on-campus use must appear on OIRT’s list of approved printer models. For the most up to date list of approved printer models, please contact the Purchasing Department. The purchase of any printer not on the list must be pre-approved by the CIO.

Determining if a Printer will be Directly Connected or On-Network

Faculty and Staff Members have the option of either making a direct or network connection to the printer. A direct connection is when a printer is connected to a single computer and an on-network printer means that multiple parties can print to it. Generally speaking, unless a printer is shared by three or more employees, users should request a direct connect printer.

If you are planning to use a direct connection, simply purchase any printer contained on the Purchasing Department’s list of approved models and follow the instructions for “Installing a Local Printer” in the “Connecting a Printer for Faculty and Staff Members” section below.

If your new printer will be on-network, please ask your department to contact the Fairleigh Dickinson University Technical Assistance Center (UTAC) for USAN to investigate the viability of any data jacks in the vicinity of where the printer will be located. The full workflow for this process is shown in the following diagram.

Employees are able to add network printers to their own machines.

  1. Do a search for printers, and click on “Printers & Scanners

  2. Click on “Add a printer or scanner

  3. The list will start to populate and if you find your printer you can click on it and then click on “Add device”, otherwise scroll down to the bottom of the list and select “The printer I wanted wasn’t listed

  4. In the new dialog box, select “Find a printer in the directory” and click “Next

  5. Search for your printer and double click on it when you find it

  6. A box will let you know that the printer was successfully installed. Click “Next

  7. You can click on “Print a Test Page” to verify you are connected to the right printer otherwise click on “Finish

The instructions below pertain to any Vancouver user that will use the Secure Print, Scan to email, and Copy functions of the Xerox printers.

Account Balances

Vancouver users have the following account balances listed below:

  1. Free Quota, is a designated account balance that is applied to all the students and is auto-replenished on schedule – before the start of the semester. This is the first balance that gets deducted after which the secondary “Paid_Balance” goes into effect.
  2. Paid Balance is the amount credited onto a student’s account when they pay for extra printing credits.

Each user listed below has a specified amount of Free Quota replenished according to a schedule:

  • Adjuncts: $1000.00 replenished at the start of the school year
  • Student IT Assistants And Student Workers: $200.00 replenished at the start of every school term
  • Staff and Faculty: $1000.00 replenished at the start of every school term
  • Students: $10.00 replenished at the start of every school term

Paid Balance Reload / Replenishment

The instructions below are for Students on how to reload/replenish their Paid Balances:

  1. Go to Enrollment Services to pay for the amount they wish to recharge
  2. Bring the receipt to IT Office to request the reload for their Paid Balance
Logging In
  1. Users can either swipe their badge or use their FDU NetID and password to log in. To use your credentials press the “Keyboard” button on the top right of the screen

Checking Account Balance on Printer

To check your total balance from the printer, log into that printer and press the “Access Device” button. The balance will be displayed on the screen.

Secure Print
  1. To release a print job after you have sent a print job to the appropriate printer and logged into that printer. Press the “Print Release” button
  • To print all jobs under the queue press the checkbox above all the jobs (2) then press the “Print” button (5)
  • To print a selection of the jobs, select the appropriate checkbox beside the jobs you want to print (3), then press the “Print” button (5)
  • To delete jobs from the printer’s queue, select the appropriate checkbox beside the jobs you want to delete (3), then press the “Trashcan” button (4)
  1. To log off of the printer, press the “Log Out” icon on the top right next to your name

Scan to Email
  1. To start a scan-to-email job, log into a printer and press the “Scan” button
  1. You can press the “Star“’ button (4) immediately to start scanning
    • Optionally you can edit the Subject and Filename entries (2) and the scan settings (3)
  1. To log off of the printer, press the “Log Out” icon on the top right next to your name

Copying
  1. To start a copy job, log into a printer and press the “Access Device” button
  1. Press “Access Device
  • To return to the PaperCut MF main screen, press the “PaperCut MF” button
  1. To copy, press the “Copy” button
  1. Enter the number of copies and then press the “Star“’ button for the default selection (Auto Detect Color, 1-1 Sided copies). Optionally you can change the settings shown in the yellow box below, then press the “Star” button
  • You can delete the job at any point in the previous screens by pressing the “Delete” button. If only N number of pages have been printed, you will only be charged N times
  1. To log off of the printer, press your username on the top left and then press the “Log Out” button.
  1. Press the “Log Out” button again

Accessing your Papercut Account

The user console can be accessed via vanpd-papercut.vancouver.fdu.edu.

  1. Log in using your FDU netID then select the “Login” button
  1. You can review your Transaction History, Balances, Recent Print Jobs & Jobs Pending Release by selecting the appropriate tab on the left-hand side. You can also see your environmental impact according to your print, scan & copy activities

Printing in The Computer Labs

Cost and Billing

To prevent excessive printing, the Department of Computing Services charges students a small fee for printing in the FDU Computer Labs. Black and white printing costs $0.05 per page and color printing is $0.25 per page.

Each student pays a technology fee which includes $10.00 of lab printing for each of the fall, spring, and summer semesters. Printing charges above the $10.00 per semester will appear as a Printing Fee on the next tuition bill.  

The $10 per semester printing credit is a standard allotment that expires each semester and has no cash value. No refunds will be given for pages not printed and unused prints for each semester’s allotment do not carry forward.

FDU staff and faculty members can use lab printers on a limited basis without charge for the purpose on conducting FDU business. Please use your department’s printer(s) as your primary printing resource. Faculty and staff members are limited to 200 pages per semester. Any attempt to print past this quota will result in an error message stating that the account does not have enough credit.

Note: You are responsible for all activity on your account. If you share your password with others or forget to log out, you will be held responsible for any activity done via your account, including printing charges. Computing Services strongly recommends that you use non-trivial passwords and log out completely before leaving a workstation.

View and Manage your Lab Printing

Receiving Credit for Printing Errors

Credit will be given for errors caused by the printer (paper jams, toner problems, etc.) In such situations, please take the bad printouts to a Lab Assistant in Dreyfuss, Dickinson Hall, or University Hall. Your information will be taken, and reimbursement will be made in the form of a credit applied to your total charge for the semester. Situations which could have been prevented before printing, such as extra blank pages at the end of a document, will not be reimbursed.

Can I Use My Own Paper in These Printers?

No. Jobs are printed as they are received. There is the possibility that after loading the printer with your paper someone will print a job that will then be printed out on your paper. Transparencies and mailing labels are not allowed in the lab printers due to the high heat that laser printers use and the potential for damage to the equipment.

Sending an Encrypted File Using Email

Instructions for Windows

If you do not have a university issued laptop or desktop, you must download and install 7-Zip on your computer in order to proceed with the instructions. Please follow the following steps in order to download and install 7-Zip on to your personal device:

  1. Download 7-Zip:
  1. Launch the 7-Zip installer “7z1900-x64.exe” or “7z1900.exe

NOTE: The Installer file name may change as newer versions are released.

  1. Click “Yes” if asked to run an unknown app from User Access Control
  2. Click “Install” on the setup screen

Preparing an Encrypted 7-Zip File

  1. Single “Right” click on the file
  2. Highlight “7-Zip
  3. Navigate and “Left” click on “Compress and Email…
  1. Change Archive Format to “ZIP
  1. Enter and Retype a password in the “Encryption Section” and check the box to “Encrypt file names
  2. Change the Encryption Method to “AES-256

NOTE: The password must be a complex password that contains the following:

  • At least one capital letter
  • At least 2 numbers 0-9
  • At least 1 special character (%, ^, &, ! , @ , !, ….)
  • Be at least 8 characters long
  1. Click “OK

NOTE: A progress bar will open to encrypt and zip the file. Depending on the size of the file, this may take a few minutes.

  1. An email message to compose your new email with the compressed and encrypted file will appear
  1. Address and compose your email as desired

CAUTION: Never send an email that contains both the password and file together. These must be sent separately.

  1. Compose and send a separate email, or place a phone call, to the receiving parties which contains the password for the compressed file for them to read

NOTE: Without the password, the receiving party will not be able to open and view the file.

Opening an Encrypted 7zip File

  1. Open the email that contains the encrypted file
  2. Click the arrow “V“’ and select “Save As
  1. From the saved location open the encrypted file
  2. Enter the password provided to you from the sender

Once the password is entered correctly, the enclosed document will then load, and you can make any changes and save inside the protected file. If needed, the file can be returned to the sender with needed information.

NOTE: The Archive Window must not be closed if making any changes that need to be saved.

IMPORTANT: After the document is no longer needed, the encrypted file should be SECURELY DELETED from your hard drive. At no time should this be saved for later use.

Instructions for macOS

  1. Download Keka:
  1. Open Keka Preferences and check the box next to Use AES-256 when encrypting ZIP files (less compatible)
  1. Set a password for the file
  1. Drag your file onto Keka to compress and encrypt. The encrypted file will be placed next to the original file
  2. If you need to extract an encrypted file, simply drag it onto the Keka window and enter the file password in the prompt. The file will be extracted in the same location as the original

Setting up and Accessing the FDU VPN Client

Download and Install The FDU VPN Client

FDU’s VPN Client Software, is also known as the “Cisco AnyConnect Secure Mobility Client”.

  1. Use any web browser (Google Chrome, Mozilla Firefox, Safari) to navigate to vpn.fdu.edu. Please refrain from using the Internet Explorer web browser when installing the FDU VPN Client
  1. Select your role within the University from the Group pulldown menu and enter your NetID Information in the username and password fields (user@fdu.edu)
  1. On the left-hand side menu, click on “AnyConnect“, then click on “Start AnyConnect”
  1. Download the VPN applet by clicking on “Download for Windows” or “Download for macOS” depending on your operating system. The browser will then download the VPN software client. When finished downloading, click on the file and select “open” within your browser

The browser will open a new window asking for permission to download the applet, click on “Allow”. When finished downloading, double click on the file to open the installation package and start the installation process.

  1. Follow the steps prompted to accept all changes and grant requested permissions to install FDU VPN software. Note, Java Runtime Environment software may also need to be installed. A copy of the software download will be prompted to be installed or can be accessed using the link below:
  1. The installation will continue, and an icon for the “Cisco AnyConnect Secure Mobility Client” with a “lock” icon will appear in your system tray once the installation is complete

Logging into The FDU VPN

  • If you are an existing Duo user, please skip to Step 2
  • For new Duo users, please follow the guide below for registering your DUO Account

Users with multiple registered Duo devices will need to enter push1 for their primary device or push2 for their backup device. If you are unsure which device is your primary or secondary device, open the Duo Mobile app on your mobile device, click Fairleigh Dickinson University and enter the passcode displayed.

Setting up Microsoft Bookings

  1. Visit the FDU Office 365 Portal using any web browser
  1. Sign in to the FDU Single-Sign-On (SSO) page using your FDU NetID credentials
  1. In the upper left corner, click the dotted square and select All Apps
  1. In the All Apps menu, choose Bookings
  1. Microsoft Bookings will open. Click the Get it Now button to begin
  1. The next page will ask for two pieces of information: Business name and Business type. Enter your Department name or your First and Last Name. Click Continue

Note

Designating a Business Type is not required to be able to Continue.

  1. Once your Bookings page loads, the first section you should complete is Business Information. Click  Business Information in the left menu
  1. On the Business Information page, you can enter your business or department address, other contact information, upload a business logo, and set up your business hours
  1. Next, set up your service offerings. Click Services from the left menu

Note

By default, Microsoft Bookings will add a service called “Initial Consult.” You can click the pencil next to this service and make it your own, OR you can add a new service by clicking Add a service at the top of the screen.

  1. Once you’re on the service-editing page, enter your service details, including name, description, and location. When you start typing an address in the default location, suggested locations will populate. Below are explanations for the other fields on the service-editing screen:
    • Duration: You can enter how long you want the duration to last in days, hours, minutes, and set a buffer time when customers cannot book.
    • Reminders: You can have the system send customers email reminders before their scheduled appointment. Click the pencil to edit the text. 
    • Leave Publishing options checked.
    • Online Scheduling Options: This is where you can manage the settings for when customers can book services.
      • You can choose to use the default scheduling policy by leaving the option checked, OR
      • You can manage the settings for your scheduling policy by unchecking the option.  If you choose this option, we recommend setting the Minimum lead time to 24 and the maximum lead time to 30 days.
    • Don’t forget to click Save at the top of the Service details page
  1. Next, click Staff from the left menu. Click the pencil next to your name to edit your information. Also, you may add any staff or faculty members in your department by clicking the + Add staff button
  1. On this page, you can add information about yourself, including your office or department phone number and whether to receive email notifications (we recommend keeping this option checked).  Click Save when finished
  1. Next, select Booking page from the left navigation pane.
    • Booking page Status: Since this is the first time you are setting up your Bookings page, your status is set to Not published. Once you finish customizing your page and clicking Save, the status will change to Published. 
    • Customer data usage consent (optional):  Where you can customize a message for your visitors to consent to your site collecting their personal data. 
    • Scheduling Policy: Where you can set site-wide scheduling policies. We recommend the following settings:
      • Minimum lead time: 24
      • Maximum lead time: 30
    • Email Notifications: Notifies you when an appointment is made. 
    • Staff: You can allow customers to choose who they want to meet with. However, you can uncheck this option if you do not have any staff.
    • Customize your page: Choose a color theme for your bookings page.
    • Lastly, click Save and Publish
  1. Once you click Save and publish, your Bookings site is now live! You can view your published page by clicking Open published page and share your page with others by copying the link

Shared Mailbox in Outlook

A shared mailbox makes it easy for a group of people to read and send emails from one public email address, like info@fdu.edu. When a person in the group replies to a message sent to the shared mailbox, the email appears to be from the shared address, not from the individual user. Shared mailboxes can also be used to provide a shared calendar, allowing multiple users to schedule and view calendar tasks.

Request Access to an FDU Shared Mailbox

Users can request a new shared mailbox by completing and submitting the “Distribution Group/Shared Mailbox Request” form found below.  Users needing access to a specific FDU shared mailbox account may request access by reaching out to the shared mailbox owner.  To fulfill this request, the shared mailbox owner will open a support case with the Fairleigh Dickinson University Technical Assistance Center (UTAC).

Add a Shared Mailbox to Outlook

Windows
  1. The shared mailbox should automatically display in your folder pane on the left-hand side of your Outlook application within 24 hours of its creation. Closing and restarting the Outlook application maybe necessary if you do not see it after 24 hours

Note

Before you can use a shared mailbox, the Microsoft 365 admin for the university has to add you as a member.

If you cannot open a shared mailbox, please contact the Fairleigh Dickinson University Technical Assistance Center (UTAC) and open a service request.

New Outlook version on macOS

Some macOS users may take advantage of the “New Outlook” version of the Outlook application. You can identify which Outlook version you are using by locating the “New Outlook” slider tab button on the top right of the application.

  1. Select Tools from the Outlook menu at the top of the screen, then choose Accounts
  1. Select the Delegation and Sharing tab
  1. Choose the Shared With Me tab and then select the + button
  1. Begin to type the shared mailbox name or its email address, choose the correct shared mailbox before selecting Add, and finally Done when finished
  1. You should now see your shared mailbox, located on the left-hand side of your Outlook application window

Note

This is a one-time process only. You do not need to follow the above steps to add this to Outlook on your macOS device again.

If you cannot open a shared mailbox, please contact the Fairleigh Dickinson University Technical Assistance Center (UTAC) and open a service request.

This was a one-time process. You do not need to follow the above steps to add this to your account again. You will automatically see the shared mailbox when you sign in to your account next time.

  1. Sign in to your primary FDU email account in the Microsoft Outlook for Android or iOS app
  2. Tap the Add Account button in the left navigation pane, then tap Add Shared Mailbox
  1. Enter the name of the shared mailbox and tap Add Shared Mailbox when finished

Note

If you have multiple accounts in Outlook Mobile, select the account that has permissions to access the shared mailbox.

  1. After the account setup process completes, the shared mailbox will display in your account list within the Outlook for Android or iOS app

To remove a shared mailbox, go to Settings > Accounts. Then tap on the shared mailbox and select Delete Account.

Send Email from a Shared Mailbox

Windows / macOS
  1. Open Outlook
  2. Choose New Email to start a new message
  3. If you don’t see the From field at the top of your message, choose Options, and select the From tab
  1. Click From in the message, and change to the shared email address

Note

If you don’t see your shared email address displayed, choose “Other email address…” Enter the full email address for the shared mailbox in the blank or search for the email address by clicking “From” tab. Click “OK” when finished.

  1. Finish typing your message and then choose Send

Note

From now on when you want to send a message from your shared mailbox, the address will be available in your “From” drop down list.

Whenever you send a message from your shared mailbox, your recipients will only see the shared email address in the message.

Sharing a Calendar and Delegating Administrative Rights

Calendar sharing is easier than ever with Office365. If you wish to share your calendar, follow the steps bellow.

  1. Log in to Office365 and go to your email.
  2. Once in Outlook look for the calendar shortcut on the bottom left
  1. Look for and click on the share button
  1. On the new pane that pops up type in the name of the person you would like to add and then select the person from the list
  1. After the person is added you can drop down the menu to the right of their name and select the amount of access they should have.

Software Compliance & Distribution Policy

In accordance with FDU’s Acceptable Use Policy for Computer Usage, no employee shall copy or distribute software that violates copyright laws. All employees shall be aware that software and the accompanying documentation is generally owned by the manufacturer and the license only grants the user the right to use the software. Unlicensed software installations, also known as software piracy, are unacceptable at FDU.

The primary user of each computer shall take responsibility of keeping records of licenses for which software is installed. The University’s Computing Services Department shall also track licenses for software installed by the Computing Services Department though the purchase of high volume or site licenses. Users are advised that the software installed on University-owned computers may be audited internally (by the University) or externally (by software manufacturers or other anti-piracy software firms) at any time. Software found not to be in compliance with copyright laws will be removed and replaced with a licensed copy.

Computing Services will provide certain software that is commonly used by the majority of the University’s employees, including but not limited to word processing, spreadsheet, and anti-virus software. Some software manufacturers allow for non-concurrent use of a license on an office computer and an employee’s home computer. Computing Services will not provide non-concurrent licenses at off premise sites due to the inability to track these licenses.

In order to provide the best possible service and support, and to reduce the cost of software site licenses, Computing Services, in conjunction with the Center for Learning and Teaching with Technology, has standardized on Microsoft Office Professional and Symantec Endpoint Protection.

Popular Software Titles and Guidelines for Faculty and Staff to Obtain:

  • Microsoft Office for Windows or Macintosh: Available through standard deployment of leased or owned equipment or by request for any University-owned PC or Mac.
  • Microsoft Visual Studio: Installed in Labs. Available by request for staff and faculty machines.
  • Adobe Acrobat: Available by request for staff and faculty machines.
  • SAS: Installed in Labs. Available by request for staff, faculty and student machines.
  • SPSS (Base): Installed in Labs. Available by request for staff and faculty machines.
  • SPSS Advanced Modules: Available by request for staff and faculty machines.
  • Adobe Products: Faculty and staff may purchase Adobe products at level three pricing with the University’s CLP Membership No. 4400062846.
  • Symantec Endpoint Protection: Available through standard deployment of leased or owned equipment or by request for any University-owned PC or Mac.
  • Other products: Faculty and staff may obtain pricing and submit orders to Purchasing. If assistance is needed, contact Computing Services.

Software Quality Assurance and Compliance Policy for Network Server & Lab Installations

It is no longer possible for individuals to install software on staff or faculty desktops or lab computers. Laptops or Macintosh users have administrative rights and individuals can install additional licensed software to laptops.

Instructors wishing to have a software application installed in a lab for use by 20 or more people simultaneously must provide Computing Services the original installation media, installation guide, and the appropriate proof of license. Note that the licenses for some software may limit our ability to install it on the network. These materials must be provided a minimum of sixty days before the software is needed. Because it is impossible to predict how the software will interact with our network and other software already installed, we cannot guarantee that a program will work on our system.

For programs that will be used by less than 20 people, the instructor may install the application on up to 5 machines in a lab not normally used for classroom instruction, plus an “instructor’s machine” in one of the teaching labs. If fewer licenses are owned, then only that many licenses may be installed. The instructor will be told which machines to install the program on and will be given a password which can be used to disable the security on the machine for the duration of the installation procedure. Software installed in this way will only be available on those designated machines. Computing Services will make a reasonable attempt to keep these designated systems functioning with the additional software, but in the event that the machine needs to have it’s base configuration and software restored from backup, the instructor will be contacted and will need to reinstall the application.

In all cases, software must be owned or licensed by the University, even if the application is only to be used for demonstration purposes. No software owned by an individual will be installed on the systems.

Software Request Guidelines for University Computers and Computer Labs

Departments wishing to obtain software, whether it is for use by the department or to be installed in the FDU computer labs and/or FDU Anywhere, should plan appropriately to provide adequate time to acquire the software and make it available to users.

The following steps should be used as a guide when planning to obtain software for instructional or business use:

Plan a minimum of 3 weeks for a contract review before a PO can be processed. See contract review requirements and order process by visiting the link at the bottom of the page.

  1. Selection of product
  2. Creation of Purchase Order (PO) and approval by department/dean/chair
  3. Technology review and approval by OIRT
  4. New vendor processing, if necessary
  5. Contract review
  6. Software purchase and delivery to FDU
  7. Software preparation. Plan up to 60 days to allow for items such as:
    • Creating configurations for FDU’s needs and environment
    • Setting up license servers or other required systems
    • Integration with other systems (e.g., Single Sign On)
    • Testing mass deployment (if for the computer labs)
    • Integration with FDU Anywhere (if needed) assuming the software is licensed and approved for VDI enviroment
  8. Testing and confirmation of proper functionality by the requestor (instructor)
  9. Final installation on computers

Note

Even if the software has no cost to FDU, per the Office of the General Counsel and the Contract Review Policy, if the software requires you to agree to terms and conditions, it’s an agreement that must be reviewed
